Why Parking Facilities Need a Modern Management System
Not what the job description says. What actually filled their hours.
Watch a booth for one afternoon and count. The overwhelming majority of interactions are not incidents, disputes or emergencies. They are questions. The same ones, all day, every day:
- “How much is it for two hours?”
- “Is there space on the upper levels or is it full?”
- “Why is level 2 closed?”
- “Where’s the elevator / the pay station / the exit?”
- “Do you take cards?”
- “I lost my ticket, what do I do?”
- “Where do the EV chargers… is there even charging here?”
Here’s the uncomfortable truth hidden in that list: you were paying a salary for a human FAQ. The judgment calls, the real service moments, the situations that genuinely need a person? They’re a small fraction of the day. The rest is information delivery, one driver at a time, at walking speed.
Once you see it that way, the staffing problem changes shape. You don’t need to replace the person. You need to replace the questions.
Replacing the questions, not the person
Every question a driver asks is a piece of information that wasn’t available where and when they needed it. So the fix isn’t more staff. It’s putting the answer at the exact spot where the question is born.
Drivers make decisions at a handful of predictable points. Map the questions onto those points and the pattern is obvious:

Nothing on the right-hand column requires a human being. But here’s the catch, and it’s the reason paper signs never solved this: most of these answers change. Availability changes by the minute. Rates change by the day or the hour. Closures happen at 6am during a snowstorm. A printed sign answers yesterday’s question.
That’s the real dividing line. Static information creates questions (“the sign says open, why is it closed?”). Live information removes them. Screens and digital displays are simply the only medium that updates itself, across every decision point at once, without anyone walking the facility with a stack of laminated paper.
What this looks like in practice
Operators who’ve gone down this road typically end up with some version of this setup:
- At the street: rates and live availability visible from a moving car. This one does double duty: it removes questions and captures drivers who would have driven past an “is it full?” uncertainty.
- At entry and exit: payment instructions, accepted methods, and what to do when something goes wrong (intercom, QR code, phone number). The “lost ticket” panic, handled without a human.
- At ramp intersections: where the spaces are, level by level. Drivers stop circling; circling is where most in-facility frustration (and most fender-benders) comes from.
- Everywhere, when needed: one message pushed to every display at once. Level closed, event pricing tonight, elevator out of service. Thirty seconds from the office, instead of an hour of walking and taping.
And the team? It gets smaller and better at the same time. One person, sometimes remote, handles the genuine cases: the dispute, the broken barrier, the driver who needs actual help. They’re no longer interrupted two hundred times a day by “how much for two hours.”
What screens don't do
Let’s be honest about the limits, because they exist.
A display doesn’t calm down an angry customer. It doesn’t fix a barrier stuck at rush hour. It doesn’t help the driver who doesn’t read the language, or the one who just wants a human. Facilities with heavy event traffic or complex validations will always need people on the ground at peak times.
The point was never zero staff. The point is that information handles the predictable, so your people can handle the exceptional. Three booths become one flexible role. A role, by the way, that’s easier to hire for, because “solve real problems” is a better job than “repeat the rates 200 times a day.”
The question worth asking about your own facility
Stand where your drivers stand. At the street. At the entrance. At the ramp split on level 1.
At each spot, ask: what does a first-time visitor need to know right here, and can they get it without asking anyone?
Every “no” on that list is currently either an attendant’s interruption, a frustrated driver, or a car blocking a lane. Count the no’s. That’s the size of your gap, and no job posting will fill it.
